Children’s information and safeguarding
Keeping children safe comes first, and it can override other privacy considerations. Our website is for parents and carers and is not designed to collect information directly from children.
We keep records of children’s learning, development, attendance, accidents and medication as required by the EYFS. Parents and carers can see their own child’s records on request.
If we have a concern about a child’s welfare, we may share information with Kent Children’s Social Care (Kent Front Door), the Local Authority Designated Officer (LADO), the police or health professionals without consent. We do this where seeking consent would put a child at risk, in line with our Safeguarding and Child Protection Policy and the government guidance Information sharing: advice for practitioners.
Video doorbell
We do not use CCTV. We use a camera-based video doorbell at our entrance so that staff can see who is at the door before letting anyone in. It is used only for safeguarding, security and safety. Any images or recordings it captures are stored securely, kept only for a limited period, and can only be accessed by senior staff.
Who we share information with
We only share information when the law requires it, when it is needed to care for your child, or when you have agreed.
- Ofsted, for inspections and regulatory duties
- Kent County Council, for early education funding claims, SEND support and safeguarding
- The Department for Education, through the Early Years Census
- Health professionals, such as health visitors, speech and language therapists and your GP, where relevant to your child’s care
- Your child’s next school or setting, when they move on, so their learning and any support continue smoothly
- Service providers who help us run the setting, such as our website host, online shop and payment provider, online learning journal, accounting software and IT support. They act only on our instructions and must keep your data secure.
- Our insurers and professional advisers, where needed to manage claims or legal matters
We do not transfer personal data outside the UK unless suitable safeguards are in place.
How long we keep information
We keep information only as long as we need it or the law requires, then delete or securely destroy it. Typical periods are below; our full retention schedule is available on request.
| Record | How long we keep it |
|---|---|
| Enquiries that do not lead to a place | Up to 12 months |
| Children’s registration and learning records, including registers | 3 years after your child leaves the setting, or until our next Ofsted inspection after they leave. Learning journeys are passed to you or your child’s next setting |
| Accident, incident and medication records | Until the child is 21 years and 3 months old |
| Safeguarding and child protection records | Until the child is 25 years old, or longer where required |
| Fees, online orders and financial records | 6 years after the end of the financial year |
| Photos used on the website or social media | Until you withdraw consent, or 2 years after your child leaves |
Keeping your information secure
We protect your information with practical measures suited to a small setting.
- Paper records are kept in locked cabinets, with access limited to staff who need them.
- Electronic records are password-protected, and devices are secured.
- Staff receive data protection and safeguarding training, and confidentiality is part of their contracts.
- Personal mobile phones and cameras are not used in the children’s rooms, in line with our E-safety policy (06.09).
If a data breach happens that is likely to put you at risk, we will tell you and, where required, report it to the Information Commissioner’s Office (ICO) within 72 hours.
